7. The AI assistant

The assistant is built by Leading AI using Azure Open AI services. All data is hosted and processed in the UK.
"The Client" refers to the organisation that has engaged Leading AI to build and deploy the AI assistant on their behalf. The client for this assistant is the Royal Borough of Kensington and Chelsea.

Information we collect:

Retention of prompts and responses: We retain the prompts that users enter the AI assistant, and the responses generated by the assistant, for a period of three months.

Anonymisation: All prompts and responses are anonymous. We do not record or share any identifying information about who entered the prompts.

Sharing with the client: We share anonymised prompts and responses with the client for whom we set up the AI assistant, for the purposes of assessing how and how much the assistant is used.

Improvement of AI tools: We also retain user prompts and responses to help refine and improve our AI tools.

Inclusion of personal data in prompts: users are advised not to enter any personal or sensitive information into the AI assistant as a prompt. If you enter personal data into a prompt, it will be recorded as part of the prompt. Even though the prompts are anonymised, the personal data itself may be identifiable if included in the input.

Any prompts that appear to include personal data will not be shared with the client.

8. Changes to this privacy policy

We may update this policy from time to time. Any changes will be posted on this page with the updated effective date. Continued use of the website after modifications constitutes acceptance of the updated terms.
